Your Role as the Organizer
After the initial setup, you have only one job: Encourage your team to fill out their check-in when they receive the notification from Birdy.
That’s it. Here is a simple message you can copy and paste into your team's chat to set expectations:
"Hi team,
You should see a new recurring meeting on your calendar called 'Daily Stand-up Meeting' that was sent by an app called Birdy.
I'm introducing this tool to help us make our stand-ups much more efficient. The goal is to turn our 30-minute status reports into focused, 10-minute problem-solving sessions.
The way it works is simple: Birdy will ask for your updates 2 hours before the meeting. Please take a moment to fill them out when you get the notification. This preparation is the key to making our live meeting time more valuable.

The Automated Meeting Timeline
Here is the step-by-step process that happens for every meeting you've scheduled.
1. The Check-in Window Opens (2 Hours Before the Meeting)
- What Birdy Does: Birdy automatically sends a notification to every attendee in Microsoft Teams. This message will contain a link for them to provide their async updates by answering the questions you configured.
- What Your Team Does: Team members click the link in the notification, fill out their answers, and submit them. They can see each other's updates and collaborate on them as they come in.
2. Agenda Generation (Approx. 30 Minutes Before the Meeting)
- What Birdy Does: After the check-in period ends, Birdy’s AI analyzes all the submitted updates. It identifies key discussion points and blockers, and compiles a focused agenda.
- What You Can Do: Birdy will notify you that the agenda is ready. You can review it before the meeting to see the key topics and make any last-minute edits if needed.
3. The Meeting Starts
- What Birdy Does: When you join the meeting in Microsoft Teams, Birdy will automatically open in the side panel. It will display the final, focused agenda for everyone to see, keeping the conversation on track.
- What Your Team Does: Because everyone is already up-to-date from the async check-ins, the team can use the live meeting time to focus exclusively on the discussion topics and blockers listed in the agenda.
